Creating Import Templates in FedEx Ship Manager Software


The first step in importing or exporting data is creating a template. The recipient data fields in your import template must be displayed in the same order as the columns in the TurnLink Company Information Export.

You can import two types of files

Hold File: This imports addresses and order specific information like weight, PO Number, comment, etc and puts it in a Shipping List inside FedEx Ship Manager that allows for one-click shipping of a single or batch of transactions based on TurnLink Orders.

Recipient: This is just basic company address information so that it is accessible in FedEx Ship Manager in the Address book to create shipments with.  It is not order specific and does not contain weights or prepare any Shipping document.

Step 1: Launch FedEx Ship Manager Software
Step 2: From the “Databases” from drop down menu, select “Templates”
Step 3: The “View Templates” pop up page is displayed.
Step 4: From the “View Templates” Pop-up page, click the “Add” button
Step 5: In the Add Template Pop-up page complete the available fields in the following manner:

HOLD FILE
i) For the Template ID, enter a template name (i.e. “TURNLINK HOLDFILE”).
ii) For the Description, enter a description
iii) (i.e. “TurnLink FedEx Ship Manager Hold File”).
iv) For Type, select “Import”.
v) For Database, select “Hold File”.
vi) For Format, select “Delimited”.
vii) In the Delimiter field select “None”.
viii) In the Field Separator field select the comma “, “.
ix) Select the Default country code as “US-United States
x) Do NOT Check the box to indicate “Column headers on 1st line”.

RECIPIENT
i) For the Template ID, enter a template name (i.e. “TURNLINK RECIPIENT”).
ii) For the Description, enter a description
iii) (i.e. “TurnLink FedEx Ship Manager Addresses”).
iv) For Type, select “Import”.
v) For Database, select “Recipient”.
vi) For Format, select “Delimited”.
vii) In the Delimiter field select ”.
viii) In the Field Separator field select the comma “, “.
ix) Select the Default country code as “US-United States
x) Do NOT Check the box to indicate “Column headers on 1st line”.

Step 6: You must now select the required fields for the Import template. Click on each “Description” name from the Database fields list below (i.e. Recipient Code) then click “Add” in order to add it to the “Template fields” list:

Note: The fields listed below must be added in the same order described below.  Listing the fields in any other order will result in errors when attempting to import your address book.

Follow these steps to create your first field “Recipient Code” in your import template. 

i) Scroll down the “Description” names until you see the name “Recipient
ii) Code”. The list is displayed in alphabetical order.
iii) Click on “Recipient Code” so that it is highlighted.
iv) The “Add>>” button is now activated. Click the “Add>>” button.
v) The “Recipient Code” field should now appear as the first item in the “Template
vi) Fields” list, just to the right of the “Database fields” list.

Continue to add each of the required fields in the order provided below.

HOLD FILE
1. Recipient Code (Process to add this description is provided above)
2. Recipient Company
3.  Recipient Contact
4.  Recipient Address 1
5. Recipient Address 2
6. Recipient City
7. Recipient State/Province
8. Recipient ZIP Code
9. Recipient Phone Number
10. Recipient country
11. Shipment Notify E-mail ID-1
12. **Package/Shipment Weight
13. **PO Number
14. **Personal Message 
** - (If you include it in the options in TL_FedExShipManager.txt file, you must include it in this template)



RECIPIENT
1. Recipient Code (Process to add this description is provided above)
2. Company
3. Contact
4. Address 1
5. Address 2
6. City
7. State/Province
8. ZIP/Postal Code
9. Phone Number
10. Country Code
11. Shipment Notify E-mail ID-1



Step 7:
Carefully review the “Template fields” list on the screen with the list above and verify that the list is identical.

Note: If you need to make a correction, you can “Add” a database field by clicking on the database field you wish to add. Next, click on the template field immediately above the space you wish to add the database field, click “Add”. If you wish to remove a “Template field”, simply click on the field and click “Remove”. If you have no further changes, continue to the next step.

Step 8: To save your template and close the “Add Templates” Pop-up page, click OK.

Step 9: To close the “View Templates” Pop-up page, click OK.

Importing HOLD FILES

Step 1: In TurnLink, you will need to create an order filter on Reports > Orders page.  In Step 3 of that page, you can click the Exports link and the orders that you have in the left mover box ‘Include in Report’ will be pushed to the Reports > Exports > Company Information page.



Step 2: You will be in the ‘Last Order Batch’ mode on this Reports > Exports > Company Information page and the orders to export will be available in the mover boxes.

Step 3: Make sure the Export Type is FedEx Ship Manager and that your additional options are setup to match the fields you set in your Hold File Template above (items 12-14) and then Export the file.

Step 4: Save it to somewhere on your computer either with a consistent name like TL_FedExShipManager.txt so that your template can always use the same file, or as the name it is given with the date in it where you will need to browse for the file each time you go to import to FedEx Ship Manager (an extra click or two).

Step 5:
From the FedEx Ship Manager Software “Databases” drop down menu, select “File Maintenance” and then “Import”.

Step 6:
The “File Maintenance – Import” pop-up page appears (see below).

Step 7:
Select the Template name “TURNLINK HOLDFILE” from the drop down menu.

Step 8:
For the Input Filename, if you set the default to be a consistent name (eg ‘C:\\Documents and Settings\yourLogin\Desktop\TL_FedExShipManager.txt’)  you won’t have to browse for a file, otherwise click the Browse button and click “Open” to select the import file (i.e. TL_FedExShipManager_062010.txt).

Step 9:
Select to “Append to current data”.

Step 10
: Click “OK”. The system notifies you when the import is complete and shows you how many orders were Processed and added to the Hold File.

Step 11:
Click on the Shipping List button on the 2nd menu from the top and then select Hold File.



Step 12 : You will see all of the Orders that are in your Hold File and have not been shipped.

Step 13:
  Highlight the first line and click the Edit button on the bottom of the Hold File dialogue.  You will be taken into the Bar Code creation area with all information already setup for you.  **If you set your System Settings for outbound shipping to always select Package Type, Bill To:, and Service Type then everything will be set to your defaults and all you will have to do is verify data, tweak anything and then click Ship button to create Bar Code.



Step 14:  Return to the Hold File list via Shipping List > Hold File and repeat through each shipment.

Importing RECIPIENTS

Step 1: Click on Reports > Exports > Company Information page.

Step 2:
Make sure you have a company filter or all companies and are not in the ‘Last Order Batch’ mode

Step 3
: Make sure the Export Type is FedEx Ship.

Step 4:
  Save the file somewhere on your computer either with a consistent name like TL_FedExShipManager.txt so that your template can always use the same file, or as the name it is given with the date in it where you will need to browse for the file each time you go to import to FedEx Ship Manager (an extra click or two).

Step 5:
From the FedEx Ship Manager Software “Databases” drop down menu, select “File Maintenance” and then “Import”.

Step 7:
  Select the Template name “TURNLINK RECIPIENT” from the drop down menu.

Step 8:

Step 10:
Click “OK”. The system notifies you when the import is complete and shows you how many addresses were Processed and added to your database.

Step 11:
You can now create bar codes and use the Recipient Code field to pull up companies from this import or search your address book to find and use any of these addresses.
