Account Setup : Distributor Codes & Pricing

Once you have added your products to TurnLink you will need to connect them to the distributors who carry them. This can be done in two ways. Depending on how many products and third party distributors your company has, you can decide which method or combination of methods is right for you.

Note: you will want to add your 3rd party distributors and product unit types (e.g. Each & Case) to the system before you setup your products and their corresponding distributor codes and pricing.

1. Manually within TurnLink


TurnLink Admin level users can manually add distributor codes & pricing via Setup > Products > Distributor Codes & Pricing:



Select the Distributor distributions centers (DCs), Product Folder(s), and product Attributes you want to setup and click 'Continue': 
  • The 'Code' attribute is required and automatically included. All other available attributes are controlled by Admin level users via Setup > Preferences. 
  • The 'Pack Quantity' attribute should be included if your products are sold in any 'Unit Type' other than Each. 
  • If you are editing existing products you can search for them by name, UPC, or distributor item codes in the top search bar. 
  • Select the 'Unit Type' you want to setup (e.g. Case or Each). 
  • The item 'Code' attribute is required in order to connect a distributor to the products they carry. Once 'Codes' have been entered, TurnLink allows you to setup all additional distributor attributes. 
  • If you are synchronizing with QuickBooks, or any other 3rd party accounting system, your Direct Distributor 'Codes' should match your item codes in the accounting software.
  • The 'Pack Quantity' attribute is telling TurnLink how many units come in the selected 'Unit Type' (e.g. a Case = 12 Each). This also correlates to the QuickBooks Unit of Measure feature if applicable.
  • If TurnLink is maintaining your distributor product matrix updates via their published price list catalogs, please note that they are published in advance so new items should have a 'Disco Rule' applied to ensure they don't discontinue prematurely. Choosing a few months out will give your items time to appear in the catalogs, and prevent them from being discontinued when the automated updates are run if they are not yet in the catalogs. Unpublished items, such as special order displays and chipper should have their Disco Rule set to 'Never' and will need to be manually discontinued if applicable. 
  • Click 'Save' when done: 


Note: if multiple distributor DCs carry the same items with the same 'Codes' and other attributes you can 'Copy Code info from Existing Distributor' to save time:



2. Via Excel Import Templates


If you have a lot of products and distributor DCs, an Excel import for initial setup will most likely make sense. You can create an Excel template to add new products, and assign distributor item codes, pricing and other attributes for those products by going to Setup > Imports:



Choose 'Product Codes & Pricing' as your Import Type, name your import, and click 'Continue':

  • Click the 'Products' section far right arrow to expand/collapse.
  • Select the approximate 'Number of New Products'  you want to setup from the dropdown menu if applicable. 
  • Optionally 'Include Columns for Images' which allows you to enter product image links for display in both TurnLink and the MapMyStores store locator application. Images can also be retrieved from Data Council IX-ONE, contact your TurnLink representative for additional information. 
  • If updating existing products select them in the 'Products to Include' section. When updating all items within a Folder, use the Folder Menu Icon to 'Select All In Folder' at once: 
  • Click the 'Distributors' section far right arrow to expand/collapse.
  • Select the 'Unit Types' for the selected Distributors Codes you are adding or modifying.
  • Codes and Pricing will be included by default. Select the other attributes to include. All other available attributes are controlled by Admin level user via Setup > Preference. 
  • The 'Pack Quantity' attribute is telling TurnLink how many units come in the selected 'Unit Type' (e.g. a Case = 12 Each).
  • Select the Distributors whose Codes and Attributes you want to add or modify


Once done click 'Create Template':


The template you download will have 1 sheet for 'Products' and an additional sheet for each distributor DC you included where you can setup their unique distributor attributes such as codes, wholesale pricing, and pack/quantities.
